Move from Tally to LedgerKing without starting again
You do not need to type your ledgers and vouchers again. Tally can export everything as XML and LedgerKing reads that file. This guide shows the export in Tally, the import in LedgerKing and the checks to do after.
Before you start
- Take a backup in Tally (Gateway → Data → Backup, or your usual method). The export does not change anything in Tally, but a backup is always good.
- In LedgerKing, create the company with the same name, financial year and GSTIN.
- Decide the start date. Most people move at the start of a financial year or a month, and keep the old years in Tally for reference.
Step 1: export from Tally
In Tally go to Gateway → Display / Export.
- Choose Masters (ledgers, groups, stock items, units) and set Format: XML (Data Interchange). Export.
- Choose Day Book, set the period you want to bring in, Format: XML (Data Interchange). Export.
You now have two XML files. Keep them in one folder.
Step 2: import into LedgerKing
- Open the company in LedgerKing.
- Open Import (Excel / Tally) (or press Alt+X) and choose the masters XML first.
- Read the preview: it lists what will be added and what will be skipped, and why.
- Confirm. The import is all-or-nothing: if something fails, nothing is half imported.
- Repeat with the Day Book XML.
Always import masters first, then vouchers: vouchers need their ledgers and items.
What comes in and what does not
| From Tally | In LedgerKing |
|---|---|
| Groups, ledgers, stock items, units | Imported; masters you already have are kept, not duplicated |
| Sales / purchase vouchers with items | Item invoices, when the total matches Tally to the paisa |
| Other vouchers (payment, receipt, journal, contra) | Imported |
| Stock journals | Stock journals |
| Delivery notes | Delivery challans |
| Receipt notes | Listed in the preview, not imported |
| Cancelled vouchers | Skipped |
| Items without a GST rate | Imported as inactive: set the rate, then switch them on |
If an item voucher's total does not match Tally (for example because of manual rounding), the preview tells you, so you can check that voucher instead of getting a wrong stock or GST figure.
Step 3: check the numbers
After import compare these reports in both programs for the same date:
- Trial Balance: totals and the main ledgers.
- Stock summary: quantity and value of the main items.
- Outstanding: what customers owe you and what you owe suppliers.
- GST: tax of one month in the sales and purchase register.
If they match, you are done. If one ledger is off, open that ledger in both and compare the vouchers of the month.
Tips
- Set GST rates on inactive items before making new bills with them.
- Check invoice numbering: set the next number of your sales series in LedgerKing so that it continues from Tally.
- Keyboard: the shortcuts you know (F4 to F9 for vouchers, Alt+C to create a ledger while entering a voucher) work the same way, so data entry stays fast.
- Keep Tally read-only for the old years. You do not need to import ten years of history to start.

Frequently asked questions
Will importing change my Tally data?
No. Tally only exports a file. Nothing changes in Tally.
Can I import more than one year?
Yes. Export the Day Book for the period you want. Many businesses bring in only the current year and keep older years in Tally.
What if some vouchers are skipped?
The preview lists every skipped entry and the reason (for example cancelled vouchers or receipt notes). Enter the few that matter by hand.
Do I need internet to import?
No. Export and import are both done on your computer. LedgerKing works offline.
